Job Description – Executive Administrator

We’re a global missions organization with a deep commitment to multiplying leaders, churches, and missions movements among every people. And we’re looking for an Executive Administrator to help one of our most strategic leaders stay focused on what matters most.
As Executive Administrator to the Vice President of Global Ministries, you’ll be the hidden engine behind strategic impact. You’ll:
- Keep projects moving from idea to execution without letting details fall through the cracks.
- Protect the VP’s time and focus by filtering distractions and managing priorities.
- Coordinate high-stakes meetings, conferences, and communications that advance our mission.
- Represent the VP in internal and external meetings with clarity, discretion, and maturity.
- Solve problems before they land on the VP’s desk — and bring solutions when they do.
What You’ll Own:
- Operational Flow: Maintain seamless calendars, travel plans, and meeting logistics so leadership can lead uninterrupted.
- Event Leadership: Plan and execute conferences like the Global Leadership Summit and Missionary Enrichment Conference with excellence and grace.
- Communication Hub: Craft messages, manage contacts, and ensure the right people have the right information at the right time.
- Policy Coordination & Research: Stay current on missionary policies, prepare materials for VP engagements, and track department budgets.
- Ministry Support & Culture Carrier: Model spiritual maturity and servant leadership while serving as a bridge between IHQ and global ministry teams.

What You Bring
Must-Haves:
- Ability to pass a background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.
- Associate’s degree (or equivalent experience) in business, office management, or related field.
- Strong Microsoft Office and digital communication skills.
- Previous experience supporting senior-level leaders.
- Joyful, confidential, and mission-aligned demeanor.
Nice-to-Haves:
- Previous international travel experience.
- Background in ministry or nonprofit settings.
Travel:
- Able to travel 2-3 weeks per year (domestic).
- Occasional international travel may be necessary.
Christian Life:
